Clown fish became famous thanks to the movie Finding Nemo. In real life, their social hierarchy is simple: larger fish dominate their smaller counterparts. Now we know that to reinforce this social structure, the fish communicate with aggressive and submissive audio signals. The new info is in the journal PLoS ONE. Researchers recorded clown fish calls, capturing this noise as one chased a smaller fish. [Aggressive audio] These popping sounds function as an aggression signal. When a clown fish has been chased and wishes to submit, it shakes its head in a submissive gesture and produces clicking noises like these. [Submissive audio] The researchers compared the aggressive and submissive calls, and found that the sound pulses in a submissive signal were shorter and more high-pitched.

Unlike many animals that use sound to draw in potential mates, clown fish appear to use their calls only as labels of social status. When a little fish makes submissive sounds to a larger one, neither has to invest in a physical confrontation. Which is good news for small-fry like Nemo.

Miners lead recovery by UK stocks, earnings mixed

* FTSE 100 index gains 0.4 percent

LONDON, Nov 8 (Reuters) - Britain's top shares moved higher

on Thursday after sharp falls in the previous session as

investors sought out some bargains, with earnings news mixed.

Miners led the bounce back after falling

sharply on Wednesday, helped by a recovery from two-month lows

by copper prices.

At 0912 GMT, the FTSE 100 index was up 22.01 points,

or 0.4 percent, at 5,813.64, having dropped 1.6 percent on

Wednesday as concerns over growth in Europe and the United

States swamped initial relief that the U.S. presidential

election had been settled quickly.

"You've had a bit of a run up in anticipation of the Obama

win, and now you've had a run down again. I think it's just part

and parcel of the volatility that's brought about by

uncertainty, and I think it's likely to continue over the next

few days," Michael Hewson, senior markets analyst at CMC

Markets, said.

Another big batch of mixed corporate earnings news provided

the main blue chip drivers, with almost 10 percent of the FTSE

100 index reporting results on Thursday.

Weakness in real estate stocks was the main drag. The sector

was weighed by falls from Land Securities, down 0.9

percent after lacklustre first-half results, with net asset

value per share up 0.1 percent.

Tate & Lyle was the biggest FTSE 100 faller, off

2.3 percent as the sweeteners and starches maker reported only a

slight rise in first-half earnings, reflecting the cost of

re-opening a factory and tough trading in Europe.

Volume in Tate was the biggest of the FTSE 100 stocks, at

almost 75 percent of its 90-day daily average in the first hour

of trading, with overall index volume at 12 percent.

Food retailer WM Morrison was also weak after its

latest results disappointed, shedding 1.4 percent.

Britain's No. 4 grocer said an underlying sales decline

worsened in its third quarter with the group missing out on the

growth of larger rivals.

Morrison's poor performance though gave a boost to its

rivals, with Tesco

percent, while J Sainsbury gained 0.4 percent.

"I think what's happening is that there's divergence

occurring in the sector; Tesco is doing better, Morrisons is

doing worse, and I think the recognition is that Tesco slowly

but surely is turning the UK supertanker around," said Philip

Dorgan, analyst at Panmure Gordon.

Meanwhile. well-received earnings news supported insurer

Aviva, fund manager Schroders, and publisher Reed

Elsevier, ahead 1.0 percent to 1.5 percent.

48 percent of European companies have so far missed

expectations in the current quarter, according to data from

Thomson Reuters Starmine, although analysts have raised their

expectations for the next quarter on average by 1 percent for

those companies that have reported.

CENTRAL BANKS EYED

Aside from the earnings flow, investors looked for direction

later on Thursday from the latest Bank of England (BoE) and

European Central Bank (ECB) rate-setting meetings.

The Bank of England is expected to make no change to

record-low interest rates or its current bond-buying

quantitative easing programme when the outcome of its latest

Monetary Policy Committee meeting is revealed at 1200 GMT.

Similarly, the European Central Bank is expected to keep its

monetary policy unchanged when the outcome of its latest Council

meeting is unveiled at 1245 GMT.

"While we see no changes from the central banks this time,

investors will still be keen to hear anything they have to say,

particularly from ECB boss Mario Draghi," said Andrew Crook,

senior trader at Sucden Financial Private Clients.

Teaching With 'Teenagers in The Times' - NYTimes.com

In July we started a new feature, Teenagers in The Times, which collects recent articles, slide shows and videos about young people published on NYTimes.com.

Our latest edition was just published and, beginning in December, you can find a new collection on the first Friday of every month.

Here are some suggestions for how to use the feature with your students, but we?re hoping you have ideas, too. Write in and tell us, and we?ll add yours to the list.


Teaching With Teenagers in The Times

1. Heroes Among Us: Whether it is a Olympic dreamer, rebel musician or budding entrepreneur, students can find a teenager to admire and inspire in The Times.

Ask students to identify someone they admire among the teenagers profiled in this series. Then, either write a letter to this person commending him or her; create a profile to contribute to a class wall of inspiration; or learn more about this person?s cause and create a plan to pitch in.

2. Mentor Texts for Writing: Students love to read about one of their own. Use one of the profiles of a teenager in The Times as a model for writing about an interesting teenager in your school or community.

Ask students to examine how Times writers introduce and build a portrait of their subjects. In this piece about a female high school football player, for example, the lead is descriptive and blind. How might students use that technique to introduce their subjects?

Or, point out how Juliet Macur uses quotations to build her portrait of the gymnast Danell Leyva. How might students use quotations similarly to tell a story about a local teenager? Once they have examined the models, have students identify subjects, draft interview questions, conduct interviews and write their own profiles. Encourage students to keep an eye out, too, for stories about teenagers in local newspapers, perhaps to create a class collection.

3. A Hook for Deeper Digging: Use topics that appeal to student audiences to engage them in further research or to teach them about another part of the world.

The feature on Malala Yousafza, for example, could be a starting point for investigating Pakistan and the role of women there. After students read this piece, they can learn more by looking at the Times Topics page about this young activist.

Other subjects can be explored in the same way: Begin with an attention-grabbing article based on a teenager, then zoom out to the bigger picture using Times Topics pages. Because these pages aggregate articles, videos and photographs, as well as often suggesting outside Web site, they are a useful starting point for research. To share what they?ve learned, students can use Times resources to create a multimedia presentation using free Web-based presentation tools like Prezi or Popplet.

4. Think Local: Perennial news subjects like school lunches, cheating scandals or identity and school culture always inspire strong feelings among students.

Have them examine local news about issues or trends they learn about via Teenagers in The Times, then write pieces for their school newspaper or letters to the editors of community or local papers.

5. Exercise Your Core: Pieces in this series offer ample opportunities to read high-interest and sophisticated nonfiction, then practice informative, argumentative and narrative writing.

Students might read and summarize any of the articles as a start, practicing grounding their summaries in textual evidence by using graphic organizers like this one on identifying the different points of view (PDF), or this one that asks for facts, questions and responses (PDF) ? or any of the others in our Teaching With Any Day?s Times collection.

Then, use the other ideas we list here to go further with argumentative or narrative writing. ?That?s Debatable? offers ideas for writing and speaking about hot-button issues, while ?Mentor Texts for Writing? and ?Creative License? can help them go further with narrative, descriptive writing.

6. Take Action: Many of the young people profiled in these Times pieces were chosen because they went above and beyond in trying to change something about the world they didn?t like.

Whether it?s convincing Seventeen Magazine to ?celebrate every kind of beauty,? or exhorting the Commission on Presidential Debates to have a female moderator (both of which campaigns worked), in the age of social media, young people have a bigger voice than ever.

Ask your students, What do you believe in? What can you do about it? How can stories like these inspire you?

7. A Picture Is Worth a Thousand Words: Have students choose an intriguing photograph from one of the articles, or from a featured slide show (perhaps one of these or these?) and think about the story it tells.

You might ask them to start with the three simple questions we ask weekly in our ?What?s Going On in This Picture?? feature. Or, have them complete the Saying What?s Unsaid handout (PDF) and use it as the jumping-off point for a narrative in which they speak from the point of view of one of the photograph?s subjects.

8. Only Connect: Do you know the literacy technique many call ?Text-to-Text/Text-to-Self/Text-to-World??

This series offers scores of choices for making those kinds of connections, whether on stories about identity, resilience or ingenuity . We even have our own graphic organizer (PDF) they can use to do it.

From there, students might reflect or react on connections to their own lives by journaling or writing personal essays. Then, challenge them to search The Times and other news sources to find other pieces that connect with the one they?ve chosen somehow.

9. That?s Debatable: Examine hot-button issues covered in The Times by preparing for and participating in debates.

Is it O.K. for boys to wear dresses? Should doctors prescribe pills to help students gain an edge in school? Do cheerleaders at public schools have the right to make banners featuring Bible verses? How young is too young to participate in grueling endurance races?

Students can prepare for the debate on these of other issues by working in groups to complete the Debatable Issues handout (PDF). Then, select panels of students to present arguments for both sides in a formal or informal debate.

10. Creative License: Topics that appear in this series, whether lighthearted like a piece on girls? rock camp, or serious, like one on juvenile offenders, provide powerful prompts for creative writing.

Students might create found poems, write short stories, or imagine first-person narratives from the point-of-view of one of the subjects in any of these pieces.

11. Your Turn: Have you used the Teenagers in The Times feature with your students? Tell us what has worked in your classroom, and we may add it to this list.

Recommendations Regarding 'Economic Revitalization' for South ...

After attending the State of the South Shore Economy Public Forum held on October 23rd, 2012 I was inspired to draft a response to the questions about economic revitalization that were asked at the meeting. I feel like our group had many salient ideas that were not properly represented. Also, I have noticed that people are quick to offer ideas like ?reduce unemployment?, ?beautify the city?, and ?improve recreation?, but they are typically unable to offer suggestions on how to make those ideas a reality. Below is a document that not only addresses the issues related to economic revitalization, but it also provides examples and potential solutions. I understand that everyone has limited time, but I hope that since this issue is important to the sustainability of the community you give it serious consideration.

Executive Summary:
In order to achieve economic revitalization we need: a) a vision for the future of South Lake Tahoe that strategically leverages our natural assets, is narrowly defined (it cannot focus on all existing sectors of the current economy), and is well-supported by the community, b) politicians that will stand up for a common vision that might not appease all businesses in the short-term, but will benefit the community in the long-term, c) a plan that includes projects, policies, and marketing campaigns to efficiently and effectively achieve the vision, and d) we need the City, the counties, TRPA, USFS, and the private sector to work together to implement projects towards a shared goal. Currently there are several soloed efforts to address economic revitalization, from the Prosperity Center and chambers, to the local governments and the Lake Tahoe Sustainability Collaborative. These groups might reduce duplicated efforts if they could collaborate and work towards a shared vision.

Recommendations Regarding ?Economic Revitalization?
The following comments are in response to the State of the South Shore Economy Public Forum held on October 23rd, 2012. Listed are comments and issues shared within our group at the forum and by other community members who live and work in South Lake Tahoe. I openly admit that I am not an expert in city planning, civic leadership, or economic revitalization. I do not have a firm understanding of the ?five economic pillars? that the Prosperity Center is working on, nor do I pretend to know all of the city ordinances; I am just supplying thoughts and views of community members that have a sincere interest in seeing improvements in their city. I tried to be as brief and as concise as possible (hopefully without repeating what others have said) while answering some of the questions presented on October 23rd.

What is ?Economic Revitalization??
Economic Revitalization is where initiatives are taken to allow the income and revenue of government entities, private businesses, and their employees to be sustainable and substantial enough to increase the standard of living for the entire community.

What are the barriers to ?Economic Revitalization??
Lack of a common goal
Financial obstacles
Lack of communication among stakeholders
Lack of regulatory consistency
Lack of politicians that will represent the community or stand up for new ideas

How can we achieve ?Economic Revitalization??
To answer this question it would seem that since a good majority of the community is interested in economic revitalization all that would be needed would be the removal of the barriers listed above. It is inherently more complicated than that so I hope to offer a few ideas in the examples below. Obviously there are many worthy examples, but hopefully some of these will generate thought and solutions.

Find a common goal. The goal, simply put, should be economic revitalization. If ?re-branding? is a means to achieving this goal there are a few things to think about:

If Tahoe is to become a ?Recreation Destination? instead of a Gaming and Resort area then we need to leverage our assets (lake, trails, ski resorts, etc.) and embrace our most important partners: the large landowners that make recreation possible. Without the access that the US Forest Service, State Parks, and agencies like the California Tahoe Conservancy provide, recreation would not be possible.

The community needs to promote the recreational opportunities that have been developed by these agencies better. i.e. We need to make people aware that even though the gate to Baldwin is closed in the winter they can still ski and hike to the lake and meadow. In turn the Forest Service should provide year-round parking and signage to make this activity more feasible. These agencies have already shown that they are open to public input. We can guide them further with more focus on connectivity, signage, and accessibility.
Maps and clearly signed walking and bike paths that connect the built environment to the natural environment are needed.

What kind of recreation destination forces people to walk from their ?high-end? shopping experience at Patagonia through rundown hotels and dilapidated housing units in order to reach the lake? People want to connect their recreation spending to their recreation activity more easily. If they buy a pair of skis they can instantly board the gondola, but if they buy a bathing suit in the summer how do they easily access the lake? Mountain bikers in Mammoth can easily ride from the trail down to shops and restaurants. Why doesn't that connection exist here? We need to inform visitors how to get from their hotel to the Rim Trail, or to the lake, or whatever their recreation interests are. Having visitors navigate through the CVS parking lot near Balbijou Road so that they can access Timber Cove and the Jewel of the Sierra is unacceptable.

We can easily improve recreation sites that already exist.
i.e. Reagan Beach could be a great place to picnic but the playground facility has a recycled rubber tire mulch under the equipment that negatively affects the entire area. I applaud the use of recycled materials, but used tires are dirty and they off gas so many toxic fumes that no one wants to be within 50 yards of the playground. Beautiful view, but stifling smells in a region known for fresh mountain air and clear Tahoe water. It doesn't make sense if we are trying to encourage family style recreation. We shouldn?t be paying for mulch like this when there is an abundance of natural forest mulch and wood chips that we can replenish anytime for free.

Focus on areas that have the greatest potential for successful economic redevelopment.
Linking the ?Y? to the Casinos via a network of worthy shops and restaurants that cater to locals and visitors would be a daunting task, but we could better focus our energy between the Globin Center (Sprouts) on Harrison Ave and Lakeview Center (Freshies) near Fremont Ave. At this site the link between lake recreation and shops and restaurants is clear. Here we have the greatest opportunity for successful redevelopment. This should be the heart of the town.

Reduce financial obstacles.
Finding funding sources is always a challenge, but there may be a way to encourage revitalization via other methods.
Small tax incentives could help small business owners comply with new city ordinances without them feeling threatened by increasing costs.
The financial incentive the City is providing to comply with the sign ordinance is a perfect example. But why does this incentive only apply to business between Ski Run and Trout Creek? And why has no one applied for funding through the program? Do people not know of it or is the application process to cumbersome?
Big tax incentives take serious political will but make a much more pronounced impact on the community, and they help to address the real issues behind economic revitalization.
Traditional property tax incentives are upside-down. They impose higher taxes on owners who construct or improve homes and commercial structures. They reduce taxes for owners whose buildings deteriorate. Want to see how it works and how to fix it? Go here.

The City or the Chamber of Commerce could provide free marketing to local businesses that share our common goal. By allowing everyone to advertise it reduces the overall strength of the message.
i.e. Lake Taco is one of Tahoe?s best kept summertime secrets. Nowhere else can you get lakeside views, recreation, and killer tacos. On the other hand Ken?s Tires probably shouldn?t be allowed to market on the same website (sorry Ken, I will always support you.)

Streamline permitting and bureaucracy to allow for positive and sustainable redevelopment by reducing inconsistencies between city, county, state, and regional agencies.

i.e. The regulations in the basin are no more strict than in other communities (e.g. BMPs are required in Portland), however the uncertainty in what a business must do and how long it will take due to the array of agencies and subjectivity in TRPA?s code is a huge issue.

Developers say that the cost of coverage is not the issue, it is the uncertainty created by the 1 week to 3 years that it takes to get the TRPA to verify coverage on site, the subjectivity in their rulings, and getting governing board approval that is the issue.

Further reduce permitting fees or offer tax incentives to new development projects that hire local workers. Bids for redevelopment projects typically go to out of town firms because the cost of wages and materials are higher here in Tahoe. Similar to the tariff system used for imported cars, we could protect our economy and the people who live here by making local bids more competitive. It makes sense to employ local workers, but we have to find a way to make hiring local more feasible.

Funding for projects is often facilitated by the use of key words. In my experience I have found that by using words and phrases like ?Water Quality Issue? and ?Safety Concern? it is much easier to get federal and state funding for projects than by saying ?Beautification? or ?Economic Revitalization?.
i.e. The number of unwarranted driveways in the Fairway Shopping Center (CVS, El Dorado Saving, Heidi?s) causes serious disruption to the flow of traffic on Hwy 50. It is a significant safety issue for pedestrians and bikers and it is a danger to drivers as they attempt to enter and exit traffic.

There are 4 driveways, each spaced 5 feet from one another, in this shopping center. One of them even has a traffic signal. By directing traffic through the signal and eliminating the need for the other useless driveways we can attempt to beautify the area, improve traffic flow, and increase the safety for drivers, pedestrians, and bikers. I can think of at least 10 other sites where useless driveways plague the city. We should be able to find a way to fund their demise. Achieve beautification through safety reform. Politicians need to stand up for community benefits over singular local business on certain issues.

Increase the number and diversity of job offerings.
Not only does South Lake Tahoe need to reduce unemployment by increasing the number of viable jobs, but we also need to make job diversity a priority. Economic sustainability will increase if jobs and revenue are not based on the unpredictable nature of the weather and tourism.
Let?s face it, the Hwy 50 corridor between the ?Y? and Al Tahoe is not set up to accommodate visitor needs. Any amount of effort spent in the area will likely only benefit locals. No one visiting Tahoe will ever walk from the ?Y? to Al Tahoe through a line of interesting shops and quaint restaurants. This area should be repurposed for business offices and local services that do not fluctuate with the ebb and flow of ?tourist season? and are not influenced by climatic uncertainties. Zoning should be used to consolidate and concentrate commercial and tourist areas.

Incentives for new (non-tourist based) businesses need to be focused here in this blighted part of town where real estate is likely to be lower than properties near the lake. Tourist-based business should be located where the lake connection is more clear; not here where there will never be a return on your investment in tourist dollars. The argument that we should reduce the speed limit to encourage shopping here is not valid. People will only slow down if there is something interesting to look at and that won?t happen until they get to the lake. Don?t get me wrong, this part of Hwy 50 needs beautification, but these businesses should be local and unaffected by tourist dollars.

Why is it so difficult for new businesses to buy land here? The existing land owners often overvalue their property because of the belief that their (pre-1972/TRPA) over-covered lots are valuable for the coverage. We need to brainstorm a way to encourage new investment here.

To attract new (non-tourist based) businesses we should also invest in marketing the attractiveness of ?the quality of life? here in Tahoe (great work/play balance, great recreation, excellent school programs, a safe place to raise a family, etc.).

Diversify businesses and reduce duplicity.
At one point we had 6 hardware stores in town all within three miles of each other, and three of them were located across the street from one another. We don?t need an Office Depot and an Office Max, or a Ross and a TJ Max. With duplicity like this the customer base is split between both stores and each business suffers financially. Reduce duplicity and diversify business offerings for our locals and our visitors so they don?t have to shop ?off the hill?.

Define the future image of the business sectors that we want here and then partner with education programs to feed those sectors.
With a new high school media program and college level courses we have an opportunity to funnel students right into a high tech work force. Unfortunately, we do not have the local businesses to keep these people employed in Tahoe and they are going off the hill to find work. With our recreational opportunities and link to extreme sports we should be able to find a home for digital, audio, video, and media enterprises here. Develop a pathway into the workforce for our local student population be it media, health care, or some of the existing environmental agencies.

I?m sure there is more. If these ideas were nothing new, and you actually read this far, I apologize for wasting your time. But I suppose the most important component to realize in making this work is of course community involvement and a common desire to make ?Economic Revitalization? a goal and a reality. So many of us are here to help, just ask. Second in importance would be finding a political leader ready to represent the community and support a vision that might not make all businesses happy in the short-run, but will most definitely benefit the entire community in the long-run. Compromise is important, but so is not losing sight of the goal.

Swing states: how candidates fared in battle for newspaper endorsements

Newspaper endorsements in the swing states represented, in many cases, the same kind of thoughtful grappling with the candidates and their plans that millions of voters have engaged in.

The voters are about to have their say. But before they do, newspapers based in pivotal battleground states have rendered their own verdicts on the contest between President Obama and Mitt Romney. Many have endorsed the president for a second term. Many have endorsed his Republican challenger.

Even collectively, the views expressed in these editorials do not exactly mirror the nation's electoral soul. But the endorsements more than just echo partisan talking points. They represent, in many cases, the same kind of thoughtful grappling with the candidates and their plans that millions of individual voters have confronted en route to Nov. 6.

Those who came out in support of Mr. Romney often characterized him as a moderate, can-do business executive ? someone more likely to be effective at reaching difficult compromises with a divided Congress. Those who endorsed Obama often expressed uncertainty about who the "real Romney" is (moderate or conservative), and argued that the current president is at least a known quantity with victories as well as failures under his belt.

Here's a tour of the thinking of editorial boards in eight swing states, starting in Virginia and moving clockwise around the nation ? ending in the Midwest.

The Times-Dispatch editorial board called Romney's economic plan "plausible and pragmatic," including his call for a cap on federal spending.

"Perhaps most disappointing has been the president's divisive rhetoric and his?inability to forge alliances with the opposing party to find solutions. Republicans share the blame for the angry tone in American politics, but it was Obama who pledged just four years ago to bridge the gap between red and blue,?liberal and conservative."

The Observer pours some cold water on both candidates, saying neither "has offered a credible plan that might spark growth and help create jobs. Similarly,?on the issue that profoundly threatens the United States long-term ? the debt ??neither candidate has come forth with a prescriptive, balanced proposal of program?cuts and increased revenues."

But, seeking to choose one or the other, the paper went with Obama. It concluded that Romney's fiscal plan "may be going the wrong direction" with tax cuts and higher military spending.

Effective Calendar Management | Business Productivity

Last week I was a guest on the radio program ?Eye on Careers? on Dubai Eye 103.8. If you would like to listen to the podcast it?s available here. I was asked how I manage being a mother of two small children and running a business at the same time. In the show I said that the answer is ?multitasking? and ?discipline?. What I didn?t go in to during the show, which I believe is key for anyone who wants to be successful, is effective calendar management. So here are the five things I would recommend for effective calendar management.

1.???? Schedule your ?personal? time

At the beginning of each month and week make appointments in your calendar for things in your life that don?t relate to work. When do you need to drop the kids off to school/nursery? Do you have a doctor?s appointment? Does your daughter have a theater recital? When are you going home from work each day?? Are you traveling? All of these things should be added to your calendar in advance. You also need to make time for your own well-being, whether it is yoga, going for a run or singing in a band. If you don?t block out time in your calendar for personal activities it is so easy that work will ?eat up? all your time and you end up with failed relationships and a poor health. Just like you wouldn?t be late for a meeting with your boss, you shouldn?t be late for dinner with your family if you have said that you would make it home in time.

2.???? Align your schedule with your priorities

Most business professionals are extremely busy, but all too many spend their time doing the wrong things. We all have the same amount of time on our hands. What sets successful people apart is the way they prioritize what to do during that limited time. If you want to learn more about how to prioritize, you can read my blog post called ?Prioritizing ? doing the right things in the right order.? Go through your goals for the year, read your job description thoroughly and make sure the time you spend is aligned with the goals you have set. You will never be able to do everything you set out to, so you need to make sure you don?t leave the high-impact things undone.

3.???? Plan ahead

If you work in an organization that sends meeting requests to one another you might end up with a week full of meetings that someone else has invited you to. Some of these meetings might be fully aligned with the priorities you have, but many times they are not. You need to be in the driver?s seat of your own calendar. It?s easier to decline meetings when you have already scheduled time in your calendar for important work you need to get done.

In addition to planning ahead and scheduling time for your own work, it is imperative that you plan ahead if you need to schedule an appointment with someone else. It?s much easier to book a lunch meeting with someone two weeks in advance. Make sure that you send meeting invites for meetings where you need multiple people involved at least two weeks in advance. Even if you don?t have the agenda or the location for the meeting nailed down you can send out a meeting request placeholder that you later update with more detailed information.

4.???? Schedule time for things that take time!

Many business professionals only have appointments in their calendar for meetings. The calendar should help you manage your time, so it?s important that you enter everything that takes time. One good example is email. You need to schedule time for doing email. I would recommend that you schedule time for email three times a day ? morning, lunch and at the end of your work day. Don?t do email in between! You should also schedule time to prepare for meetings (any material you need to read through or presentation you need to prepare), for getting to and from meetings and following up after meetings (sending out meeting minutes, etc.)

5.???? Mark and categorize all your appointments ? confirmed or not!

If you have proposed to a colleague to have lunch on Wednesday or Thursday next week you need to make an appointment in your calendar both Wednesday and Thursday. Mark them both as ?Tentative? until your colleague confirms, at which point you can delete one appointment and mark the other as confirmed. If you don?t do this you are bound to double book sooner or later which is very embarrassing since you were the one to suggest the days in the first place.

A good way to get a quick overview at a glance of how you are spending your time is by using color-coded categories in Microsoft Outlook. You can of course also use this for more in depth analysis if you export your calendar to Microsoft Excel, but for most of us we don?t need to go in to that much detail. By just looking at your calendar week by week you can see if you are allocating your time on the right priorities.

Don? let your calendar run your life

I?ve always been very fond of writing down things I need to do in my calendar. When I was younger my family used to tease me for it. At that time I probably would have gotten by just fine without so much planning, but today, it is a must in order to keep things running smoothly. Even though I?m all for planning and scheduling, I also believe in being spontaneous and flexible. Don?t let your calendar run your life.

You also have to be humble and accept the fact that you are not always in control. Sometimes everything falls apart even though you?ve done a great job of scheduling your day ? you have to go to the emergency with your sick child, your car breaks down on the way to work, your flight is cancelled due to bad weather, the list goes on and on. Go easy on yourself and remember that you can manage your calendar but you can?t manage life!
